Strong Spine and Body (“we,” “us,” “our,” or “the Practice”) is committed to providing quality chiropractic and rehabilitation services. This Refund & Cancellation Policy explains our general policies regarding appointment cancellations, missed appointments, payments, refunds, and applicable service fees.
Because healthcare services and payment arrangements can vary, specific refund or cancellation terms may also be provided to you at the time of scheduling or before receiving a particular service.
We understand that plans can change. If you need to cancel or reschedule an appointment, please contact Strong Spine and Body as soon as possible.
We request that appointments be cancelled or rescheduled at least 24 hours before the scheduled appointment time whenever possible.
Providing advance notice allows us to make the appointment time available to another patient.
A cancellation made with less than 24 hours’ notice may be considered a late cancellation.
Depending on the circumstances and applicable Practice policies, a late cancellation fee may apply.
We may waive a cancellation fee when circumstances outside of your reasonable control prevent you from attending your appointment.
If you do not attend a scheduled appointment and do not provide reasonable advance notice, the appointment may be considered a “no-show.”
A no-show fee may apply where permitted by applicable law and Practice policy.
Repeated missed appointments may also affect future scheduling availability.
If you arrive late for an appointment, we will make reasonable efforts to provide the scheduled service within the remaining appointment time.
In some circumstances, arriving significantly late may require the appointment to be shortened or rescheduled.
A late arrival does not automatically entitle you to a refund or reduction in applicable charges.
Healthcare services that have already been provided are generally not refundable.
Once a consultation, examination, chiropractic treatment, rehabilitation session, or other service has been provided, charges for that service generally cannot be refunded simply because a patient is dissatisfied with the outcome.
Individual treatment results may vary, and payment for professional services does not constitute a guarantee of a particular health outcome.
If Strong Spine and Body offers prepaid treatment plans, packages, memberships, products, or other services, the refund terms applicable to those offerings may be provided separately at the time of purchase.
Where a specific written agreement or purchase policy applies, that agreement will govern the applicable refund or cancellation terms.
Any refund will be handled in accordance with applicable law and the terms presented at the time of purchase.
If you believe that you were charged incorrectly, please contact us as soon as possible.
We will review the transaction and, where an error is confirmed, take appropriate corrective action.
Please provide relevant information such as:
Your name
Date of the transaction
Amount charged
Payment method
Description of the charge
Reason you believe the charge is incorrect
If you believe your payment method was charged more than once for the same transaction, please notify us promptly.
We will review the transaction and correct confirmed duplicate charges where appropriate.
If you believe a payment was made without your authorization, contact us immediately so that we can investigate the matter.
You should also contact your financial institution if necessary.
Insurance claims, reimbursements, deductibles, co-pays, co-insurance, and other patient financial responsibilities may be subject to the terms of your health insurance plan.
An insurance company’s payment decision does not necessarily determine the Practice’s refund policy.
Patients may remain responsible for amounts not covered by their insurance plan, subject to applicable law and any agreements with the Practice.
If a payment is returned, declined, reversed, or otherwise cannot be processed, the outstanding balance may remain due.
Any applicable returned-payment or administrative fee will be handled in accordance with applicable law and Practice policy.
When a refund is approved, we will generally issue the refund using the original payment method whenever reasonably possible.
The time required for a refund to appear in your account may depend on your bank, credit card company, payment processor, or other financial institution.
Strong Spine and Body cannot control the processing time of third-party financial institutions.
If Strong Spine and Body sells physical products, supplements, equipment, or other retail items, those purchases may be subject to separate return or refund conditions.
Any applicable product-specific return policy will be provided at the time of purchase.
Products that have been opened, used, damaged, or otherwise made unsuitable for resale may not be eligible for return where permitted by applicable law.
If gift cards, promotional credits, discounts, or special offers are provided, additional terms may apply.
Unless otherwise stated or required by law, promotional discounts or credits may not be exchangeable for cash and may not be combined with other offers.
Any expiration or use restrictions will be disclosed when the promotion is offered.

Approval of a refund is not automatic and will be determined according to the applicable policy and circumstances.

Technical payment errors
